About the Role
We are seeking a highly organized and detail-oriented Medical Records & Legal Support Specialist to provide administrative support for a U.S.-based personal injury law firm.
The role will initially focus on medical records retrieval, billing and balance verification, provider follow-up, and case-related administrative support, with opportunities to take on additional pre-settlement and property damage claim responsibilities as the engagement grows.
Key Responsibilities
• Request medical records and billing documentation from healthcare providers
• Follow up persistently on outstanding medical record and billing requests
• Perform balance checks and verify outstanding medical balances
• Support administrative tasks related to subrogation
• Maintain accurate documentation, records, and status updates
• Communicate professionally with medical providers, insurance representatives, clients, and internal legal staff
• Track requests through completion and proactively address delays
• Identify and escalate missing documentation, discrepancies, and other issues
• Support general administrative workflows related to personal injury cases
• Assist with additional pre-settlement tasks, including requesting reductions, obtaining final subrogation information, and verifying balances
• As needed, support property damage claims for motor vehicle accident cases, including vehicle repairs, rentals, replacement vehicles, and related claim coordination
Qualifications
• Prior experience working with a U.S.-based personal injury law firm strongly preferred
• Experience with medical records retrieval and provider follow-up
• Familiarity with medical billing, balance verification, and related documentation
• Understanding of personal injury case workflows
• Experience communicating with medical providers, insurance companies, and clients
• Strong written and verbal English communication skills
• Excellent attention to detail and documentation skills
• Comfortable making outbound calls and persistently following up on outstanding requests
• Ability to manage multiple open requests and follow-ups simultaneously
• Strong organizational and task-management skills
• Experience supporting motor vehicle accident cases is a plus
• Spanish/English bilingual proficiency is a plus
Technical Skills
• Experience with legal case management systems preferred
• Comfortable working with medical records portals and provider systems
• Proficiency with Google Workspace and/or Microsoft Office
• Experience using VoIP or phone systems for provider and client outreach
• Ability to quickly learn client-specific legal and case management platforms
